Exchange: Outlook for Windows

This article is designed to guide Windows users through the process of configuring Outlook 2016, Outlook 2019, and/or Office 365 to access their Exchange account for email and calendaring.

Adding Exchange Account

If you are opening Outlook for the first time, it will force you to set up an e-mail account before it will fully open.

  1. Open the latest version of Outlook
  2. Click the File tab then click Account Settings and finally Account Settings from the drop-down menu
  3. In the E-mail tab, click New…
  4. Type in the name you wish to display in the Your Name section
  5. Type in UO E-mail Address in the E-mail Address section
  6. Type in Duck ID password in the Password and Confirm Password sections
  7. Click Next to continue
    Enter in your perferred Display name, your full e-mail address, and password. then confirm your password before hitting next.
  8. Account should configure automatically. Once it finishes configuring, Click Finished
  9. Allow time for e-mails to download and sync

You may receive security prompts from the Exchange server asking permission to provide settings to your Exchange account in Outlook. Click the Checkbox to always allow then click Allow.

  1. Open Outlook
  2. Click File tab then click Account Settings and select Account Settings from the drop-down menu
  3. Set Exchange Data File as Default
    1. Go to Data File tab
    2. Select Exchange Account data file (should have similar name as Webmail Data File with 1 at the end)
    3. Click Set as Default button
  4. Set Exchange Account as default
    1. Go to E-mail tab
    2. Select the Exchange account
    3. Click Set as Default

Removing Webmail Account

Note: Please consult CASIT before removing your Webmail account if you need assistance with making sure contacts, calendar events, notes, etc. are saved and transferred correctly.

  1. Open Outlook
  2. Click File tab then click Account Settings and select Account Settings from the drop-down menu
  3. Remove Webmail account
    • Go to E-mail tab
    • Select the Webmail account
    • Click Remove

Click Close to close the Account Settings window
